Q: What are the Conference important dates?

Deadlines for Abstract Submission to be considered for an oral presentation and e-poster abstract submission: 23rd of October, 2025
Deadline of Payment from abstract submitters/speakers: 23rd of October, in order to be included in the Final Program
Early Registration rates until 23rd of October 2025
Late Registration rates from 24th of October, 2025
Q: Why are two invoices issued?
A: The registration fee consists of 80% which does not include VAT, and 20% which does include VAT. It is not possible to include both VAT and non-VAT amounts on the same invoice. Therefore, we issue one invoice with VAT and one without VAT, plus a receipt.
Q: If my institution is paying for my registration and I am bringing a partner, can I pay for my partner privately?
A: Yes. On the payment page, there is an option for split payment. You can indicate how much the institution is covering for your registration and how much you will pay privately for the remaining balance.
Q: If I want to attend with family members, is that possible?
A: Absolutely. You should register online using the “double room” option, and in parallel send us an email requesting to add family members. In the email, please specify the room composition, ages, and the specific hotel you have registered for.
Q: Is the institution required to pay by October 23rd?
A: The institution must submit the purchase order by October 23rd.
Q: What is the difference between a single, a double, and a triple room?
A:
- Single: one person in the room.
- Double: two people in the room.
- Triple: three people in the room.
Q: If I and one or two other conference participants would like to share a room, which option should we select?
A: You should select either “single bed in a shared room for 2” or “single bed in a shared room for 3”. This way, each person pays individually. Each participant must indicate the name of their roommate, and all roommates must be registered for the conference.
Q: What happens if my roommate cancels?
A: If your roommate cancels, you will need to either pay the balance for a single room or find a new roommate.
Q: Should Invited Speakers register and submit their abstracts?
A: Invited Speakers are requested to register and submit their abstract by selecting Invited Speaker and then corresponding session from the list of sessions.
* Invited speakers for the Special Student Sessions are not required to submit abstracts.
Q: Should Invited Chairs register?
A: Yes, Invited Chairs are kindly requested to register.
